STALLHOLDER TERMS AND CONDITIONS

Stalls & Equipment

  • Stalls sites are 3m x 3m.

  • Stall locations are allocated to you by the Festival Committee. Locations are not negotiable and may not be changed.

  • Stallholders must ensure that all equipment used on, at or for their site, is safe and secure at all times. Umbrellas, gazebos or other materials used to provide shade or for display purposes must be safely secured to the site in the interests of public safety. Most sites are located on sealed surfaces.

  • The festival area is prone to strong wind gusts. Adequate weights must be brought to secure your items from the wind. Each corner of a gazebo must be weighted. Only weights allowed. No pegging into the ground is allowed.

  • Walkways and public areas must be kept clear at all times. Stalls must remain within the allocated site boundaries unless authorised in writing by the Festival Committee. Any promotional material must only be offered within site boundaries.

  • We are unable to provide power/water/tents or other equipment to your site unless special arrangements have been made in advance.

  • Please check the weather forecast prior to the day. The event will be going ahead regardless of the weather so please be prepared in case of rain and wind.

  • Love Lennox Festival is a balloon free event. No balloons of any type are allowed.

  • Love Lennox Festival is striving to be more eco-friendly than our previous events, therefore we encourage all festival stall holders to provide recyclable and biodegradable packaging materials and avoid plastic shopping bags.

  • Previous year feedback indicated visitors to the Love Lennox Festival would love for the festival stallholders to bring an extra chair with them, so visitors could spend more time at your stall.

  • Please take care to contain and remove your rubbish from your stall site. Festival stall holders are to remove their rubbish by taking it with them by the end of the day. PLEASE DO NOT USE STREET BINS for this purpose.

Applications

  • You are required to organise your own public liability insurance for your stall, a copy of which must be provided to the Love Lennox Festival Committee at time of stall offer acceptance.

  • If your application is accepted you will be notified by email.

  • Special restrictions, conditions and site fees apply to stalls selling food & drinks. Please feel free to submit your application and you will be contacted in due course for further details.

  • Only the goods/services described in this application form may be sold from your stall.

  • If we have too many applications for your particular product/service, you may be placed on a waiting list in case of cancellations.

Set-up Procedure

  • Access to the Festival Site will commence at 6:00 am.

  • You will receive an email a few days in advance with your stall allocation and instructions for entry to the Festival site.

  • A member of the Love Lennox team will meet you at the road closure (SOUTH END OF TOWN near the intersection of Ballina Street and Park Lane) and register your arrival, view your Certificate of Currency for Public Liability Insurance and direct you to your allocated stall site.  Please note that set up traffic will be Northbound only.

  • Vehicles must be off-site by 8.30am, however, please do not set up from your vehicle, we will have only a limited area for vehicles to pass so it is important that your items are unloaded and your vehicle removed as quickly as possible to ensure others can access their sites.

  • Park in the residential area north of Byron Street. Please do not park in Park Lane as this is reserved for festival goers.

  • Return to your site and begin setting up your stall. Conclude setting up your stall by 9:00 am.


Pack-down Procedure

  • Do not begin packing down your stall until advised by the Festival Stalls Manager. Pack down will commence at the conclusion of the festival, no earlier.

  • Once you have packed down, return to your vehicle and re-enter the site from the south and travel no faster than 10km/h within the festival site. Pedestrians have full right of way throughout the duration of the road closure.
